NOTICE TO EXHIBITORS

2024 Fair Theme: Harvest in the Valley

 

Exhibitor Arrival & Set Up Times:
-  Exhibit Building registration and set up is Wednesday, August 14th from 12 – 8 PM.
-  Small Animal Barn registration and set up is Thursday, August 15th from 4 – 8 PM.
-  All other Divisions contact Chairperson for arrival and set up details.

 

Commercial Exhibits & Food Concessions:

  1. Concessions and displays must be set up and in placeby Thursday, August 15th at 9 PM.
  2. Vehicles may be used to bring in supplies and must bemoved into designated parking areas by 8 AM each day.
  3. All vendors are required to keep a neat, clean, and visually appealing display at all times during theExhibition.
  4. Garbage removal and sanitation is the express responsibility of each vendor.

 

Public Admission Hours:
Friday and Saturday, 8 AM – 9 PM Sunday, 8 AM – 4 PM

 

Exhibitor Departure Times:
Exhibits, displays and livestock may only be removed after 4 PM on Sunday, August 18th. The Nechako Valley Exhibition Society will not be responsible for any items left after 5 PM.

 

General Rules & Regulations:

  1. Exhibitors must agree to abide by the rules and regulations set out herein. Failure to comply will render the Exhibitor liable to being removed or barred from the Exhibition on this and subsequent years at the discretion of the Nechako Valley Exhibition Society Board of Directors and Fall Fair Committee.
  2. Vehicles may be used to bring in supplies and must be moved into designated parking areas by 8 AM each day.
  3. Each Exhibitor must make out a separate entry form for each Division they enter.
  4. Where there are insufficient entries in a class, the Chairperson and Judge reserve the right to consolidate such classes.
  5. Any Exhibitor under the influence of liquor and/or illicit drugs during Fair hours will be disqualified and removed from the Exhibition.
  6. According to the Cannabis Control and Licensing Act, Cannabis consumption is prohibited in placeswhere children commonly gather. Cannabis smoking or vaping is prohibited at all times at the Exhibition Grounds.
  7. Exhibits are left at the owners’ risk. Reasonable care and attention will be taken with exhibits, however the NVES Board of Directors and Fall Fair Committee are not responsible for loss or damage to any exhibits or livestock.
  8. Dogs are permitted on site but are not permitted in livestock barns or show areas at any time unless entered in a canine-specific event. All dogs brought on-site must be on a leash at all times. Dogi-potStations are located throughout the Grounds; please clean up after your dog.

 
Livestock/Animal Exhibitors:

  1. Animals/Livestock: Owners are responsible for adhering to regulations regarding transport of livestock. Premise ID: BC44F3C6G
  2. Any livestock suspected of carrying an infectious disease may be asked to withdraw from the Exhibition on the advice of a veterinarian at the owners’ expense.
  3. Waivers will be provided for all Exhibitors in animal/livestock divisions or events and must be signed on-site in the presence of staff/volunteers.

 

Admission Passes:

  1. Exhibitor Pass: Any person submitting an Exhibit, showing livestock, or providing a Commercial Display or Food Concession at the Fair is eligible for an Exhibitor Pass. Exhibitor Passes will be provided as wristbands with your Exhibitor Package and are NOT available for purchase at the Gate. Exhibitor Passes must be worn for re-admission to the Grounds.
  2. Parking Pass: Only vehicles with a valid Parking Pass will be permitted to enter the Grounds from the back gate, for the purpose of loading in livestock or supplies. Parking Passes will be provided with your Exhibitor Package as required.
  3. Camping Pass: Camping Passes are available for purchase from Chairpersons or the Exhibition Office for $30 per vehicle for the weekend. Shower and washroom facilities are provided. Hookups are not available.

 

Exhibitor Liabilities & Obligations:

  1. Any Exhibitor who fails to comply with general or division rules and regulations shall forfeit prize money or awards and may be disqualified or removed from the Exhibition.
  2. Should any questions arise not provided for in the rules & regulations, disputes may be made to the Nechako Valley Exhibition Society Fall Fair Committee. Rulings of the Committee will be considered final.
  3. All Exhibitors freely and fully assume responsibility for risks associated with participation in the Exhibition, including the propensity of animals to behave in ways that may result in injury, harm or deathto persons on or around them, or the potential for participants to behave in a negligent manner that may contribute to injury to participants or others; or the potential for buildings, materials, equipment or supplies to malfunction, fail, collapse or cause electric shock.
  4. Exhibitors and participants recognize that the Nechako Valley Exhibition Society has taken steps to reduce the risks and increase the safety of all Exhibition activities, but that risks are inherent to these activities.
  5. All Exhibitors agree to indemnify and hold harmless the Society from all actions, proceedings, claims,damages, cost demands of any nature or kind arising from or in any way connected with the Exhibitor’s participation in Exhibition activities.
